Most schools in Pakistan start with registers, an Excel sheet for fees and a WhatsApp group for parents. That works until the school grows past a few hundred students, a second campus opens, or the accountant leaves and nobody can find last year's fee record. Then the owner starts looking for school management software — and finds dozens of vendors who all claim to do everything.
This guide is a checklist you can take into any demo, ours included. It is written for owners and principals, not IT people.
Before you look at any software
Write down three things on one page:
- The jobs that hurt most today. For most schools it is fee collection and defaulters, then results, then attendance. Name your top three.
- Who will use it. Only the office? Teachers too? Parents? Software that the office loves but teachers refuse to open will end up half-used.
- Your size in two years. Students, staff and campuses. Price and plans usually depend on these.
Twelve questions to ask every vendor
1. Can I try it with real-looking data, without a salesperson?
A live demo you can click through on your own tells you more than any brochure. Open the fee screen, the result screen and the parent view. If a vendor only shows slides or a recorded video, ask why.
2. How are fees set up, and what does the parent receive?
Ask them to show a fee structure for one class with tuition, transport and a sibling discount, then a late fine. Ask what the parent gets: a printed voucher (challan) to take to the bank, a receipt after paying at the office, or both. Ask whether the school or the bank records the payment.
3. Who enters marks, and how does a result card get made?
The best answer is: each subject teacher enters marks for their own subject from their own login, and the result card is assembled automatically using your grading scale. Ask if you can hold results back until the principal approves them.
4. What do parents see, and do they need to install an app?
Parents in Pakistan use cheap Android phones with limited storage. A portal that opens in the phone browser removes one excuse. Ask what a parent with two children in different classes sees after logging in.
5. Can teachers mark attendance on a phone?
If attendance has to be typed in by the office from paper registers, it will be late and incomplete. Ask to see the teacher's screen.
6. Does it handle more than one campus?
If you have — or plan — a second branch, ask whether each campus sees only its own students and fees, and whether the owner can see all campuses together.
7. Where is my data, and can I take it with me?
Ask whether your school gets its own database or shares one with other schools, how backups are taken, and whether you can export everything to Excel at any time. If you cannot leave, you are not a customer, you are a hostage.
8. Who can see what?
An accountant should not edit marks; a teacher should not see the fee ledger. Ask whether you can give each staff member only the parts their job needs — and whether changes are logged.
9. Will you move our existing data in?
Typing 800 students in by hand takes weeks. Ask whether the vendor imports your current Excel sheets for students, guardians and fees as part of setup.
10. What happens when something goes wrong?
Ask how you reach support (WhatsApp, phone, email), in which language, and how fast they answer during admissions and result season.
11. What exactly does the price include?
Ask for the monthly price for your number of students, and what is extra: SMS, setup, training, additional campuses, storage. A low headline price with many extras costs more than an honest one.
12. Can we have it on our own server or under our own name?
Most schools are better off with hosted software. Large school groups sometimes want their own server or their own brand. Ask whether that is possible later, so you are not forced to switch.
Is free school management software a good idea?
Free software can work for a very small school with one computer and one person who is comfortable maintaining it. The costs show up elsewhere: nobody to call when the fee report is wrong a day before the board meeting, no backups unless you take them, and no help moving your data. For most schools the question is not "free or paid" but how much a lost fee record or a late result costs you.
Red flags
- No live demo, only screenshots or a video.
- No clear answer about exporting your own data.
- A long contract before you have used it for a month.
- Every staff member sharing one login.
- Prices that only appear after a long sales call.
